And unlike pipeline stages, tags can represent anything: relationship type, industry, geographic region, lead source, interest level, or any other dimension that matters to your business.
Start With a Tag Taxonomy
Before you start tagging, decide on your categories. A good starting taxonomy for most small businesses:
Relationship type: Client, Prospect, Partner, Vendor, Referral Source, Investor, Lapsed Client
Industry or vertical: Law, Dental, Real Estate, Insurance -- whatever segments your business serves
Lead source: Referral, Web, Event, Cold Outreach, LinkedIn
Priority: Hot, Warm, Cold
Status flags: Do Not Contact, VIP, Decision Maker
Write these down. Share them with your team. Consistent tagging across the team is what makes filtering useful.
Rules That Keep Tags Clean
- Use title case consistently (Client, not client or CLIENT)
- Avoid spaces if your CRM allows it -- use hyphens instead (Referral-Source, not Referral Source)
- Don't create a new tag when an existing one fits
- Review your tag list quarterly and merge duplicates
One person should own the tag taxonomy. When it's everyone's job to invent tags, it quickly becomes nobody's job.
